In-line Marking Up
When you reject a revision in CMap PIM, you're encouraged to attach a markup — an annotated PDF that shows the uploader exactly what needs to change to get the revision approved. You can mark up directly from within the Approval tab.
Key points: Mark up from the Approval tab using the built-in PDF editor (Text, Pen, Highlighter and Eraser tools). Save your changes, then reject the revision — the markup is attached to the rejection email along with your mandatory rejection comments. To mark up a drawing, there must be an accompanying PDF version of the DWG, as the PDF is what's marked up.
What a markup does
A markup is an annotated PDF attached to a rejection. It makes the reasons for rejection clear, so the person who uploaded the revision knows exactly what to change, remove, adjust or update. Rejection comments are always mandatory, and a markup adds visual annotations on top of those comments.
When to use it
Add a markup whenever you reject a revision and want to show — rather than only describe — what needs changing. If you're marking up a drawing file, make sure there's an accompanying PDF version of the DWG first, as the PDF is used for the markup.
The markup tools
| Tool | What it does |
| Text | Adds typed comments to the PDF. You can change the text size by adjusting the number, and change the colour. |
| Pen | Draws directly onto the PDF — for example, boxing an area to be changed. Adjust the colour and thickness using the down arrow. |
| Highlighter | Adds emphasis and clarity to your comments and annotations. |
| Eraser | Removes any mistakes made with the highlighter or pen. |
Adding a markup from the preview window
Go to the Approval tab and find the revision you want to review.
Click on Review.
Click on 'Mark Up'.
Click Edit to open the PDF editor.
Use the Text, Pen, Highlighter and Eraser tools to clearly show what needs to be changed, removed, adjusted or updated.
Click Save Changes so your edits are saved to the markup.
Click Reject. A notification confirms the markup will be attached to the rejection email.
Add your rejection comments (mandatory) — this can be a detailed overview or something as simple as 'see attached markup'.
Click Rejecting Revision to finish. The comments and markup file are sent to the person who uploaded the revision.
Viewing rejected revisions and their markups
To review rejected revisions for audit or transparency, click into the relevant record and switch on the Include Rejected toggle. Rejected revisions are highlighted in red. From here you can download the rejected files, preview the markup, and view the rejection history.

After a rejection, the revision in the Records area reverts to the previous revision number — or to an empty record, if it was the first revision.
Tip: Mark up the PDF clearly enough that the uploader can act on it without further explanation — boxing or highlighting the specific area alongside a short text note works well.
