Understanding CMap Mail Categories
When CMap Mail files an email, it automatically applies a category to the message in Outlook. These categories make it easy to see the filing status of an email directly from your inbox, without needing to open CMap Mail or Search & Discovery.
The categories are added automatically to Outlook the first time the CMap Mail add-in is loaded. No setup or configuration is required.
CMap Mail Categories
Filed in CMap Mail
- This category indicates that the email has been filed to a project by you, either manually or through an automated process acting on your behalf.
- This can help to quickly identify emails that you have already filed.
Filed by Others
- This category shows that the email has already been filed by another member of the project team.
- This helps avoid duplicate filing and lets you know that no further action is required from you.
Auto Filed by CMap Mail
- This category is applied when an email has been filed automatically by CMap Mail's background filing process, rather than manually by a user.
- This allows you to distinguish between emails that were filed automatically and those filed through direct user action.
Benefits of Categories
Using categories provides several advantages:
- View filing status directly from your Outlook inbox.
- Quickly identify which emails have already been filed.
- Distinguish between emails filed by you, a colleague, or an automated process.

When to Use This Information
You can use these categories as a quick visual reference while managing your inbox. By checking the category applied to an email, you can immediately see whether it still needs to be filed or whether it has already been handled by you, another team member, or CMap Mail automation.
Please note that CMap Mail adds these categories to your Outlook category list automatically. They will appear against messages as soon as they are filed and can be used alongside any personal Outlook categories you may already have.
