Introduction
In this article, we will take a look at the latest CMap Mail enhancement Intelligent Email Filing, exploring what it is and how it works.
What is Intelligent Email Filing?
With the release of CMap Intelligence, CMap Mail is now able to suggest possible projects to file emails to!
Once an email has been selected for filing, CMap Mail will now suggest up to 5 project predictions. Based on your email filing history, CMap Mail will give each project suggestion a score out of 100. The closer the score to 100, the more likely it is to be the project to file the email to, according to CMap Mail.
If CMap Mail Intelligence has calculated a perfect 100/100 project match, it will bypass the project selection stage. Instead, it will skip directly to the email tagging and filing stage, helping to contribute to a smooth and time efficient filing process.
How does it work?
Let's dive in and see how Intelligent Email Filing works!
- Head over to your Outlook.
- Find an email you want to file and click to open it.
- Open the CMap Mail Plug-in.
- On the Favourites tab of the CMap Mail Plug-in, you will see that there is now Suggested Projects. These will be the projects that have been predicted using CMap Mail Intelligence.
5. If the project you want to file into appears in Suggested Projects, click on it and follow the normal email filing procedure.
Congratulations, you have now filed an email with the help of Intelligent Email Filing!
Best Practices & FYIs
If CMap Mail Intelligence gives a perfect 100/100 filing prediction but you want to override it, simply click the ‘X’ in the email filing and tagging box. You can then choose the correct project from your Favourite Projects list or from the All Projects tab.
- You can use Intelligent Email Filing when bulk filing emails. The emails you want to file, however, must be filed to the same project. The intelligence won't work correctly if the selected emails belong to different projects.
- If you are filing from a shared inbox Intelligent Email Filing will only work when filing a single email. The feature is not yet compatible with bulk email filing from shared inboxes.
Not interested?
By default, Intelligent Email Filing has been enabled for all CMap Mail users. Please contact our Support team if you would like the enhancement to be switched off.
Additionally, please be aware than when it has been switched off, all CMap Mail users in your SharePoint tenancy will lose the ability to use Intelligent Email filing, as it can only be switched on or off at organisation-level.
