Filing Attachments as Records

It is possible to file attachments as Records using the CMap Mail plugin. This feature allows users to file attachments directly from the Plugin interface, rather than having to save/download the file and reupload it to a project's Records area. 

Before we start, there are a few caveats to be aware of:

  • This feature is available to CMap PIM customers only.
  • The PIM support team will need to do some backend configuration to enable the feature, so please raise a ticket with them so they can set this up for you. 

How to file an attachment as a Record

  1. Select an email with attachments and open the CMap Mail Plugin in Outlook.
  2. Select which project you want to file the email to.

  3. Before the email is filed, you will be asked to select which email attachments you would like to file.

  4. If required metadata is missing, the Plugin will flag this and not let you file the email until this has been filled out.

  5. Click on the attachment with the missing details to open the Edit Record Details panel. Here you can make edits to the Revision Title, Revision and Record Name

  6. As you type in a Record Name, suggestions based on existing records from the select project will appear. You can either select a suggested Record, or continue with the custom name you have typed.

  7. Click on Save to update the attachment details. 

  8. Now that the file attachment details have been filled out, you can choose a tag for the email and mark it as Important and/or Confidential.

  9. Finally, click on File to file the email. 

After filing, the new Record can be found in:

  • The Records tab of the select project
  • The Transmittals to Us Page
