Create Metadata
Introduction
Adding additional metadata options to a project may be required due to variations in naming conventions. With CMap PIM, you can add metadata values on a project by project basis, ensuring your revisions adhere to defined naming schemes both internally and externally. Please note, only users who are Owners of the project site can new metadata options.
In order to use the process below, you'll need the metadata tab turning on. Please reach out to the CMap PIM Support team as they can switch it on for you.
Head to a project on CMap PIM
First, go to a project that you want to add additional metadata options to. Once you're on the project homepage, find and click on the 'Metadata' tab on the menu on the left-hand panel (as indicated by the red arrow in the image below).
Create Metadata
Click on 'New Metadata' button.
In the 'Create Metadata' panel, fill out the appropriate fields with the information you want to use for the new metadata option.
Part - From the dropdown, choose the Part for which the metadata will belong
to. For example, if you wish to add a new Level to your project, select Level from the Part drop
down.
Value - This represents the value that is assigned to either a Record/Office Document or Revision. A value may be a number, such as 02, or characters, such as AG.
Title - This represents the display name for a metadata value. For example, if a Level metadata
value was 02 the Title might be 'Second Floor'. Making the Title descriptive allows users to find
and search for the correct metadata value.
Default for Records (Optional) - If this checkbox is ticked, this piece of metadata will be the suggested
value in the dropdown when creating empty Records or uploading files.
Default for Office Documents (Optional) - If this checkbox is ticked, this piece of metadata will be automatically set for any Office Document created from a Template.
(If a value is marked as the default, it will automatically be selected when someone goes to create or upload a new record). If there is no default value, users will need to manually select the values at creation or upload.
