When you upload internally produced files, CMap Intelligence reads the file name and automatically extracts key metadata — the title, revision and status — and maps it to the right fields for you. This means you no longer need to rename files into a set metadata order or add the metadata manually at the point of upload. 

Key points: On Files from Us and Files from Others uploads, CMap Intelligence identifies the titlerevision and status from the file name and maps them automatically. A status icon on each file tells you whether it's ready to upload, missing information, or blocked by the naming scheme.

What it does

CMap Intelligence analyses the names of the files you add to the uploader and separates out the file name, title, revision and status, mapping each to the correct field. It works whether the title, revision and status appear in any order within the file name. This saves you time, as you don't need to reorder the metadata in the file name or type it in manually when uploading.

For clarity, let's see what we mean by file name, title, revision and title:

In the above example:

  • 00121-CMA-XX-XX-D-A-00008 is the FILE NAME
  • Car Park Plans is the TITLE
  • S4 is the STATUS
  • P03 is the REVISION 

When to use it

It applies automatically whenever you upload internally produced drawings or documents (Files from Us), and also when uploading externally produced files (Files from Others). Internally produced files must be named following the project's defined naming scheme.

What CMap Intelligence looks for

For the metadata to be read correctly, the file name needs to contain a file name, a title, a revision number and a status. The title, revision and status can appear in any order. For example, a file with the title Car Park Plans, status S4 and revision P03 is read and split into those separate fields automatically when you drag and drop it in.

How to upload with intelligent file naming

  1. In the Records area, click Upload.

  2. Select Files from Us for internally produced files, or Files from Others for externally produced files. (For Files from Others, complete the sending company details first, then click Continue to Upload.)

  3. Drag and drop your files, or use Browse to select them from your file explorer.

  4. CMap Intelligence reads each file name and maps the title, revision and status to the correct fields. Check the status icon against each file (see the table below).

  5. If you need to change any of the mapped metadata, edit it directly in the text box.

  6. Optionally, apply additional metadata — select a file's tick icon (or the tick icon at the top to apply to all files), then click Apply Metadata.

  7. Click Upload to send the revisions to the Records area.

Tip: Adding optional additional metadata at upload enhances your filters and makes it easier to search for specific revisions in the Records area later.
