Uploading a Revision
You upload revisions into the Records area using the Upload button, choosing Files from Us for internally produced files or Files from Others for anything created outside your organisation. CMap Intelligence reads your file names and maps key metadata — revision, status and title — automatically, and upload symbols tell you at a glance whether each file is ready to go.
Key points: Files from Us must follow the project's naming scheme; Files from Others don't, but need sending details; CMap Intelligence extracts revision, status and title from the file name; a tick means ready, a warning means missing information, a stop symbol means the name is blocked.
Files from Us vs Files from Others
Click the Upload button and you'll see two options:

Uploading Files from Us
- Click Upload, then select Files from Us.
- Drag and drop the files, or use the Browse button to select them from your file explorer.
- CMap Intelligence reads each file name and maps the metadata to the right fields. Check the tick, warning or stop symbol on each file (see below).
- If you need to adjust any metadata, edit it using the text box.
- Optionally, apply additional metadata (see below).
- Click Upload to send the revisions to the Records area.
How CMap Intelligence reads your files
With CMap Intelligence, the uploader analyses your file names and extracts key metadata like revision, status and title automatically — so you no longer need to rename files into a set order before uploading, or add the metadata by hand. For it to work, the file name needs to contain a file name, a title, a revision number and a status. The title, revision and status can appear in any order. For example, a file with the title Car Park Plans, status S4 and revision P03 is separated out into those fields automatically when you drop it in.
Upload symbols
| Symbol | What it means | What to do |
| Tick | The file name complies with the naming scheme and no metadata is missing. | The file is ready to upload. |
| Warning | Mandatory information is missing — usually the revision number or the title. | Hover over the warning to see what's missing, then add it. The file can then be uploaded. |
| Stop | The file name doesn't follow the naming convention and has been blocked. | Cancel the upload and rename the file to the naming scheme. Hover over the stop symbol to see which part is missing. |
Adding additional metadata
Adding extra metadata is optional, but it enhances your filters and makes it easier to search for specific revisions in the Records area. Apply it to a single file by selecting its tick icon, or to all files using the tick icon at the top, then click Apply Metadata to update the information.
Uploading Files from Others
Uploading files from others works slightly differently. Before you upload, you must specify where the files came from — without this it's difficult to track their origin, which can disrupt the golden thread.
- Click Upload, then select Files from Others.
- Enter the sending details (see the table below), then click Continue to Upload.
- Drag and drop your files. CMap Intelligence analyses the file names and maps the metadata automatically, just as it does for Files from Us. Use the text boxes to override any information if needed.
- Apply any additional metadata following the same steps as before.
- Click Upload.
Sending details
