CMap PIM Review Process
CMap PIM includes a built-in review process so revisions can be checked internally before they are released to a client or contractor. A user uploads a revision into the Records area, a project owner reviews it, and it is either approved or rejected — with an email notification sent to the uploader either way.

What a review process is and why it matters
Reviewing is a key stage in the documentation lifecycle. It gives reviewers a chance to catch issues and inconsistencies internally, before anything is officially released to a client or contractor. A mistake that slips through unnoticed is a real project and reputational risk — and it is often the person who signs off who ends up explaining what happened. A robust review stage helps protect against that, because anything leaving your organisation has already been checked against the agreed standard.
Tracking approvals and rejections also feeds directly into the golden thread of project information. Clear, documented pathways let you see the complete history of a document or drawing — when it was checked and by whom — giving you full transparency. Over time, seeing what is consistently getting rejected and why lets you share those insights with the wider team, so the same mistakes stop cropping up.
How the review process works
The review process is built into CMap PIM so it fits naturally into your day-to-day document and drawing management:
- A user uploads a revision into the Records area, where it sits pending review.
- A project owner carries out the review.
- After checking the revision, the reviewer either approves or rejects it.
- The person who uploaded the revision receives an email notification once a decision has been made.
To maintain standards and keep quality consistent, only approved revisions can be issued out of CMap PIM.
Pending, approved and rejected revisions
| Status | What it means |
| Pending review (yellow) | A new revision has been uploaded and is awaiting a reviewer's decision. |
| Approved | The revision has passed review. The yellow highlight is removed and the revision can be issued. |
| Rejected | The revision was not accepted. The record reverts to the previous revision number, or to an empty record if it was the first revision. Rejected revisions are hidden until you switch on the Include Rejected toggle. |
