Creating a Record
Records keep the Records area organised by stacking all the revisions of a document or drawing together. You can create empty records ahead of time — individually or in bulk — which also fixes the correct, naming-scheme-compliant file name from the start, ready to copy and paste when you upload.

Why create a record
Records keep the Records area organised and keep your revisions stacked. Rather than searching for a specific revision, you can go straight to a record and find it from there. Creating an empty record also helps you get the correct file name right from the start: internally produced drawings and documents must follow the project's defined naming scheme, and without a compliant name files can't be uploaded. Once the record exists, you can simply copy and paste its name when naming your files.
Creating a single empty record
- Click the New button at the top of the Records area.
- Choose the relevant option: Empty Drawing Record for drawings, or Empty Document Record for any other project documentation, such as Word files or Excel spreadsheets.
- On the pop-out panel, select the relevant information from the dropdown fields. The naming convention at the top updates automatically to reflect your choices, giving you an accurate file name.
- Once you've entered all the information, click Create.
You'll now see an empty record in your Records area, indicated by the grey icon.
Bulk creating empty records
If you already have a list of drawings or documents to create as soon as the project kicks off, use Bulk Create Empty Records to create several at once rather than one by one:
- Click the three dots, then Create Records, then Bulk Create Empty Records.
- Select the Files from Us option, then click Download Template.
- In the template, add your Full Number and Title for each record (see the table below).
- Save the file, then drag and drop it in.
- Check the preview, which shows what the uploader has read and whether it will pass.
- If you're happy with the information, click Create to create the empty records.
