Importing Transmittals from Newforma

Please note this guide is for importing transmittals from Newforma Project Center, not Newforma Konekt.

You may be importing your transmittals from Newforma as part of the CMap PIM onboarding. This is where your existing transmittals sorted on Newforma will be moved via import tool into your CMap PIM projects on SharePoint. Your consultant will be on hand to help guide you through the process, but feel free to give this article a read ahead of your scheduled import date to get a sense of the steps involved.

Downloading the software

CMap PIM Support will provide you with a download link and a password for the CMap PIM Import Tool. This software is needed to manage the import.

Preparing the import

The import software requires a report from Newforma showing the backup file location for each project to import. 

Please contact CMap PIM Support if you need help preparing the report.

The importer must be installed on a computer that has access to the backup files as defined in the Newforma report and the projects folder the transmittals are stored on.

For instance if your report has entry in the Backup Path column below: e:\Newforma\Eleventh Edition\Newforma Backup\99ffc98b-7afe-4c96-9978-b86e681ecd77-London-2021-03-11T00-04-07.npb Then the path e:\Newforma\Eleventh Edition\Newforma Backup\ must be valid for the import to work. 

Once you're ready to import, open the importer tool. In the following sections, fill out these fields:

Microsoft

Domain: This is the main domain of the Microsoft 365 tenant, typically the address after the @ in your email address

SharePoint Tenant: This is the first term of your SharePoint web address. For instance, if your main SharePoint page is "http://cmappim.sharepoint.com", then the your SharePoint tenant would be "cmappim"

Hubsite: The name of your hubsite without the path, for instance "CMap PIM Hub" or "Projects Hub"

Newforma

Input CSV Path:  This the path to the Newforma report saved as a CSV file. (If you need help generating this, please contact Support) Press the Browse button and locate the file, grid at the bottom will then populate. 

Transmittal Path: This is the path to your Projects drive which contains the transmittals for your project. 

The %PROJECT_CODE% will be substituted with the project number for each row of the input CSV file. 

Starting the import

If the entries in the import grid are correct, then the next phase is to choose what to import.

Click the 'Import' button, you will then be asked to login. 

The import for the first project in the list will start.

If you tick the 'Don't Add Records' box on the right-hand side of the importer, it means no records will be created in the project. It will only import transmittals and the contacts the transmittal was sent to.
