Uploading Internal Files

 

In CMap PIM, you can store and manage both externally received files and internal files. An internal file is a file (including DWGs) that has been produced within your organisation/practice (i.e. you haven't received it from someone outside your organisation/practice). 

To help keep your documentation easy to navigate, internal and external documentation are stored separately within the Records area. 

First, find the project from the 'Projects' tab on the Hubsite.

From the project homepage, click on 'Records' in the left-hand menu. 

Click on 'Upload' and click on 'Files from Us' to upload internal files. 

Either drag and drop the files you want to upload, or use the 'Browse' button to search your File Explorer.

Outlined below are some caveats be aware of: 

  1. When uploading files in PIM, if the current rendition type (e.g. DWG) being uploaded already exists 
    in the current revision, PIM will detect that the new DWG should be in the next revision.
  2. When uploading files in PIM, if the current rendition type e.g. DWG being uploaded does not 
    exists in the current revision (e.g. the current revision only includes a PDF), PIM will detect that the 
    new DWG should be in the same revision.
  3. If you have a rendition that does not exist in the current revision, but you wish for it to go in a new 
    revision, not the current one, you must roll forward the revision.
  4. If you have rolled forward a revision but realise you need to add a rendition to the previous revision, you can roll back to that revision. This will delete the current revision and its contents. 

After uploading your files, you'll need to validate the information before confirming the upload. All files that require attention will be highlighted in yellow. To see what you need to do, hover over the Warning Triangle symbol in the Status column. You'll see the warning notification. 

Make sure to make the required changes in this warning notification otherwise the uploads will remain blocked. 

If you want to add additional metadata to the files before uploading, you can do this from the 'Metadata' panel. 

Select the files you want to add metadata to by clicking on the tick icon (blue tick indicates it has been selected). To select all files, click on the tick icon next to 'Document'.

Add the relevant metadata by using the available fields. All fields left blank will go unedited. 

Once you have finished, save your changes by clicking on the 'Apply Metadata' button. 

 



When the metadata has been applied and you have made the necessary changes referenced in the warning notification, click on 'Upload' to upload the files to CMap PIM. 

A successful upload will be indicated with the green success message. 



 

Newly uploaded internal revisions will be held for Approval and will appear highlighted yellow in the
Records list.
