Set up a Custom Office Document Template
Introduction
How to set up a Custom Office Document Template.
Hubsite Homepage
In the hubsite, click the Settings cog in the top right-hand corner.
Site Contents
From the Settings panel, click Site Contents.
Template Library
In Site Contents, scroll and click Template Library.
New+ or Add Template
Click New+ in the top left corner to open up the dropdown. From here, choose the file type for your document, or if you already have any existing template click Add template to browse your local storage.
If you have uploaded a template, click on the template in the list to open the file. If you are creating a new template it will open automatically.
If the document has opened in the browser, click Open in Desktop App.
Here you can customise your template and add in available quick-parts if templating a Word document.
When you have finished customising your template, save the document and give the template a descriptive name.
Quick Parts
To explore Quick Parts, in the Word template select the Insert tab, then click the Explore Quick Parts drop down icon. From the dropdown select Document Property on the Quick Parts menu to browse the available quickparts. Due to Microsoft limitations, only Windows users have access to Quick Parts functionality.
Document Types
Once saved, you will need to add the document to the Document Types so it will appear as an option when creating an Office Document from a template in CMap PIM.
To do this, navigate back to Site Contents and click Document Types in the list.
Add new item
Click + Add new item button to open the New Item panel.
Provide Information
In the panel provide the following information:
Title - a descriptive name of the template.
QuickPartTitle - a list of all the quick parts used in the template which will require user input. If the value can be auto populated using Project Information e.g. Project Code, then it does not need to be included the list.
ShortCode - the short code that will appear in the office document document number Template URL - the full template name e.g. name.docxATVGroupGuid - the ATVGroupGuid of the Document Group the Document Type will belong to. Navigate to the Document Group list from Site Contents to find this value.
DocumentGroupLookup - the ID of the Document Group the Document Type will belong to. Navigate to the Document Group list from Site Contents to find this values. Once you are ready click Save. Your custom Office Document will now appear as a template when creating a new document in CMap-PIM.
