How to generate Mail Manager File Pathways

The .mmcollection file that is needed to generate the file pathways can be found in the Mail Manager collections.txt. If you are unsure how to find this, ask the user who installed and set up Mail Manager. 

.mmcollection File & C Drive Prep

  1. Once you have the .mmcollection file, create a new folder in your C Drive and call it 'mmconvert' (or something similar) and move the .mmcollection file to this folder.

  2. Go to the Import Tools website and download the tool called MMConvert Tool. You'll need the password from your CMap Mail Consultant in order to access this website.

  3. When the download is complete, extract the tool and save it to the mmconvert folder in your C Drive.

Command Prompt Set Up

Next, we need to set up Command Prompt so that it is pointing to the right folder in the C Drive.

  1. So, type in cd/

  2. Then cd[space]mmconvert (or the name you have called your folder)

  3. Once Command Prompt is pointing to the right folder type in: mmconvert "[name of file].mmcollection" "[name of csv file you want to generate].csv".

    For example:

    mmconvert "MailManagerProjects.mmcollection" "ImportPaths.csv"

  4. Then, hit enter in Command Prompt.

    You should see the 'Successfully converted...' message 

CSV Tidy Up

Finally, we will need to tidy up the CSV we have generated so that it can be read by the importer.

  1. Open the mmcovert folder in your C Drive.

  2. Open the ImportPaths.csv and check the information.

Your information should be organised into three columns:

Project | ProjectDisplayName | EmailDirectoryPath 

Where...

Project displays your project codes

ProjectDisplayName displays your project names

EmailDirectoryPath displays your File pathways 

Do not change the column headers (Project/ProjectDisplayName/EmailDirectoryPath) & any of the information in the 'EmailDirectoryPath' column

You may need to tidy up this file so that the 'Project' column contains only your project codes & the 'ProjectDisplayName' only contains your project names.

If you see #NAME? in any of the cells, there may be additional characters or symbols, such as '-' or '=', that you'll need to remove. 

You can use the 'Replace' function in Excel in speed up this process. If you use the 'Replace' function, make sure there aren't any additional spaces at the start of the project names too.

Finished

Once the CSV has been tidied up, move this file to the EmailImport folder in your C Drive or send it to the person doing the email import.
