Approving or Rejecting a Revision
When a revision is uploaded to CMap PIM, it will be highlighted in yellow. This indicates that it is pending review and a Project Owner (depending on your set up) needs to either approve or reject the revision.
Only revisions that have been approved can be issued out of CMap PIM. If a revision hasn't been reviewed or has been rejected, it will be blocked and the user will be unable to issue it out.
By default, only Project Owners can approve or reject revisions. Depending on how your approval process works, however, this can be switched off so that Project Members can also approve or reject revisions. Your consultant will talk you through both approaches during onboarding so you can implement the right process for your organisation.
Managing Revision Reviews
- Head to the relevant Project site
- Click on the 'Approval' tab on the left-hand panel
- To review the pending documents or drawings, find the revision then click on the 'Review' button
- Once your review is complete, either click in on 'Approve' or 'Reject' depending in your assessment
If You Approve the Revision
- You will be prompted to add optional approval comments. These will be sent to the person who uploaded the revision
- Once you're ready to move on, click on 'Approve'
- The yellow highlight will be removed and you can now issue out the revision
Sometimes the yellow highlight does not disappear automatically. If this is the case, refresh your page to bring across the changes
If You Reject the Revision
- You can markup the PDF file. To do this, click on the 'Markup' button, then click on 'Edit' button. Here you can add any annotations and comments. Be sure to click 'Save' once you've finished, otherwise your edits won't be available to view.
- Once you're ready to move on, click on 'Reject'
- Add your mandatory rejection comments - these could be detailed or something as simple as 'see attached Markup'.
- As the revision has been rejected, the drawing and/or document will automatically roll-back to the previous revision number. For example, if someone uploaded revision 3 but it got rejected, it would roll back to revision 2
Rejected revisions will be siloed away to a different container on CMap PIM. However, they can be accessed easily by any user. To view them, find to the Revision container. click on its grey circle to open up the Record pop-out panel. Click on the 'Revisions' tab and switch on the 'Include Rejected' slider.
Quick Approval or Rejection
If you have done your reviewing offline or aren't using CMap PIM's review process, you can do a quick approval or rejection. You can do this by:
- Going to the Records area
- Finding the relevant Record container
- Click on the 'Approval' tab
- Then either Approve or Reject the revision
