Legacy Filer - Filing Project Emails, Folder Based Email Filing

 

Introduction

Please do note that this article is exclusively for the legacy Atvero Outlook plugin, not CMap Mail. Therefore, the images or wording have not been changed to reflect the recent rebranding. If you are using CMap Mail, please do not use this article as a reference

This article will define the difference between the two types of plugins - Project Based and Folder Based - and provide steps on how to use the folder based filing method depending on whether you're using a Mac or Windows machine. 

 

Filing Emails in Atvero


There are two email fling plugins for Atvero:

  • Project Based Email Filing - (supported on Windows only)
    This is the most common way to file emails in Atvero, it allows you to select which emails to file into which projects and also files emails on sending.

 

  • Folder Based Email Filing - (supported on Windows / Mac / Outlook Web Access)
    This method makes a set of folders in your inbox, in which you can then drag and drop emails to be filed.

 

Folder Based Email Filing

Folder based email fling creates a folder for each Atvero project you have been joined or have been assigned to. You can file emails on Outlook for Windows, Outlook for Mac and Outlook for the Web.

 

I'm using Outlook for Windows

Folder based email fling creates a folder for each Atvero project you are in a Microsoft Teams team for. If you are using Atvero Folder fling, your Outlook ribbon will have two icons.

Logging in

To get started, you must log in. Press the login button will show the log in window for Microsoft Office. You will only need to log in once. You must log in with the same account that you wish to file emails with. 

Atvero Filing Folders

A couple of minutes after you have logged in, you will see an Atvero Filing folder appear in your Inbox. It will contain all the Atvero projects which you have joined or been assigned to. 

Filing an Email


To file and email, drop the email from your Inbox (or Sent Items) into the Project folder in the Atvero Filing folder.

The email will then be filed in Atvero. Emails are filed to Atvero every 30 minutes.  To file an email immediately press the File Now in the ribbon.

 

Checking an email has filed


All filed emails are marked with a green Filed in Atvero category.

Please note, only emails you personally have filed will appear with the filed in Atvero category, even if the email has been filed by someone else.

When an email is filed to the group, it is deduplicated so we encourage all users to file all emails from their personal mail box to the project.

 

I'm using Outlook for Mac

To create the Atvero Filing folder in your inbox select a message to read and then select the three dots in the Mac Outlook ribbon.

Running the plugin


Select the Atvero icon and then select File Emails.

After a couple of minutes the Atvero Filing will appear.

Drag the emails you wish to File into the correct project folder in the Atvero Filing folder.

To file the emails, select File Emails from the Atvero plugin in the Outlook ribbon.

After a couple of minutes the emails will be filed and get the green Filed in Atvero category.
