Legacy Filer - Filing Project Emails, Project Based Email Filing

Please do note that this article is exclusively for the legacy Atvero Outlook plugin, not CMap Mail. Therefore, the images or wording have not been changed to reflect the recent rebranding. If you are using CMap Mail, please do not use this article as a reference

This article will define the difference between the two types of plugins - Project Based and Folder Based - and provide steps on how to use the project based email filing method depending on whether you're using a Mac or Windows machine. 

 

Filing Emails in Atvero

There are two email fling plugins for Atvero:

Project Based Email Filing - (supported on Windows only)
This is the most common way to file emails in Atvero, it allows you to select which emails to file into which projects and also files emails on sending.


Folder Based Email Filing - (supported on Windows / Mac / Outlook Web Access)
This method makes a set of folders in your inbox, in which you can then drag and drop emails to be filed.

 

Project Based Email Filing

Select one or more emails in Outlook, then select the Atvero Email Filing icon from the ribbon. The first time you file an email you will be asked to log in.  You will not need to log in again after that.

Filing the Email

When the 'File Email' button is pressed, the filing dialog box will appear with a list of projects. If you wish to file the entire thread, make sure to select the 'File Email Conversations' checkbox. This will file all the emails in a thread.

Select the project to file the emails to, and then press the 'File Email' button.

You can search for the projects by name, number or description in the search field

Recent Projects

As you continue to file emails, your most popular projects will appear in the 'Recent Projects' column. This means you won't need to search for these projects. If you want to file into them immediately, you can click on the blue button with the project code, as indicated in the picture below. 

The last 6 filed projects are recorded in the Recent Projects pane. 

 

Filing Email Attachments

To File email attachments make sure the File Attachments checkbox is ticked.

When the email is filed this will be bring up the Attachment Filing window where you can specify the titles and revisions of any attachments.

Pressing File Now will file the email and the selected attachments.

If the email you are fling has already been filed by another user and the attachment has already been brought into Atvero, the email attachment dialog box will identify the attachment has already been filed.

All filed emails are marked with a green Filed in Atvero category.

Please note, only emails you personally have filed will appear with the filed in Atvero category, even if the email has been fled by someone else.

When an email is filed to the group, it is deduplicated so we encourage all users to file all emails from their personal mail box to the project.
