Importing Emails from a folder

You may need to do an email import from a folder as part of your transition to CMap PIM. Your consultant will be on hand to assist with the import set up and guidance, but please do give this article a read to get an idea of the process. 

The emails you want to import can be in MSG or EML file formats. 

Set Up

First, you'll need to download the CMap Mail Email Importer. Your consultant will provide the download link.

Once downloaded, click on the folder to install the import software.

Next, you'll need open and login into the import tool using your SharePoint account. 

Preparation

In order to bring your emails across from your folders, you'll need to create a report in Excel. 

First, name the first column "ProjectNo" and then underneath list all the project codes of the projects you wish to import emails to.  

Once the report is complete, save the file as a CSV (Comma Separate Values) in Excel. 

Starting the Import

Then in the Import Tool window, click the Browse button next to the Input File field and select the report CSV you have just created.  

If you're using Newforma Project Center (not Newforma Konekt), you can generate a report automatically.  

Next, to begin importing we must provide the folder path to the Filed Emails Folder. 

To make the Filed Email Folder path correct for each project, within the Filed Email Folder field,  replace the project code with %PROJECT_CODE%. 

The importer will now generate a path to each projects email folder which will appear in the DataPath column.

Each project's emails must be stored in a folder within the Filed Email Folder which must be named using their project code.

Before importing, it is also important to designate a folder where the emails that cannot be imported copied for later inspection. 

To assign a folder, select Browse next to the Failed Emails Folder field and choose the folder you wish failed emails to appear in. 

Importing the emails 

Once you have set up the import tool folders, you can begin importing emails by clicking the Import button located on the right hand side of the window. 

Emails in the filed email folder or a subfolder will be added to CMap PIM.

You can see the progress in ImportStatus column. 

All information found under log tab will also be available as a file in C:\temp\emailImport. 

The folder also contains a record of previously imported email files so as to only run the tool on unimproved emails.

You can re-run the import tool whilst your project email folders are still being updated by other email plugins. 

The tool will not import a file if it has already been imported.
